Feature to allow users to track investment actions

What is the purpose of the Investor Action Module?

With the new requirements that suitability be considered on more than just initial subscription, we've created a flexible CRM-like "Investor Action" feature. This will allow your firm and advisors to create non-trade investment actions with accompanying notes and documents for you to track ongoing suitability. Investor actions automatically create a chronological searchable log of each of these actions, with compliance review optionality, to help you record and demonstrate compliance beyond the initial subscription process.

Setting up your Investor Actions:

Investor actions can be created, reviewed, and deleted by accessing the System Settings tab within the Admin module and navigating to the Investment Action Settings section:

Using the Add Investment Action button, users can create their own categories of investment actions which will be displayed as pre-selectable options when a user creates a new investment action. There is also the option to determine whether or not the investment action category will be viewable to advisors. The intent of making an investment action not viewable to advisors is so that specific compliance-related entries can be added that should not be seen by the advisor. None of the investment actions, regardless of their setting, are viewable to the investor.

Once the new investment action has been saved, it will appear in the Investment Action Settings table:

Below is a list of suggested investment actions which can be used as reference to create your list:

  • Account Open

  • Account Close

  • Review

  • Deposit

  • Withdrawal

  • Recommendation

  • Reassessment

  • Referral (Outbound)

  • Other

You can also choose to turn on the Automated Investment Action setting which will create investment actions instantaneously when activities are completed such as transaction status updates, KYC completion, investor reassignment, etc.

Deleting Investor Action Types:

Within the Investment Action Settings table, any investment action type that can be deleted will have a Delete button next to it. Investment actions can only be deleted if they are not in use. Once an investment action type has been selected to create a new entry within an investor's History Record, it will not be possible to delete the investment action type.

Navigating the 'Investor History ' page within an investor's profile:

Within an investor's profile or transaction, the Investor History tab contains a summary of all investor history items belonging to that particular investor or transaction. The page has searchable fields where the parameters can be defined to narrow down on specific items. Searchable fields currently include:

  • Investment Action - Filter for investment actions by type/name.

  • Date - Search for investment action using a range of dates.

  • Reviewed - Allows users to search for Investment actions via their reviewed status.

  • Related Offering - Offering linked to the investment action

  • Related Account - Investor's account that is related to the investment action

  • Note Search - Search for specific information contained in the notes section.

  • Show Automated Actions - filter for the investment actions created through the automated approach or not.

Users can download an exportable report using the blue Export button which summarizes the details of each created action on a per investor basis.

Creating an investment action:

By selecting the Add Investor History button located in the top right corner of the Investor History table in an investor profile and transaction, users can create new investment actions. A window will open where users can set the Investment Action, Date (Required Field), Related Offering, Related Account and any notes relevant to the investment action:

If created within the Investor History of a transaction the Related Offering, Related Account and Related Transaction fields will be automatically pre-filled with the relevant details.

Once an Investment Action has been created and saved, it will appear in the Investor History table:

Actions that have not yet been reviewed can be deleted. Once an investment action has been reviewed by an admin user it cannot be deleted. Additional details of the investment action can be accessed using the green View button located on this table. Once clicked, users will be re-directed to a details page where an expanded summary of the investment action will be displayed, documents can be uploaded, and admin users can add notes that will be only visible by their own back-office.

Both Advisors and Admins can upload documents to the Files section on the details page while it is not in Reviewed status. Once an investment action has been updated to a reviewed status, no new documents can be added or deleted to this section. Documents added to this area are shared with both admin users and advisors.

Admin users can add and remove documents and notes to the Admin Notes section at any time. The Admin Notes section is only visible to admin users and any notes or documentation added to this area will not be shared with your advisors. This section will also remain accessible regardless of the reviewed status of the investment action. It's important to note that investors cannot view any of the investment actions and it is only viewable to admins and advisors.

Admin Review of Investment Actions:

Admin users can review any investment actions that have been created by setting the Reviewed toggle to Yes. Once an investment action has been reviewed, it cannot be unreviewed or deleted. Please note that this setting will only take effect once the page is refreshed so if it was clicked in error, simply unclick it right away. The delete button will be hidden for both admin users and advisors after the investment action has been reviewed.

Investor History List:

Investment actions can also be reviewed, created, and searched for all investors at once. Within the investor module, there is a new tab called 'Investor History'.

This area allows both Admin users and Advisors to search for investment actions by investor. Additionally, new investment actions can be created for any current investor in your system using the Add Investor History button on this page. Admin users also have to ability to review, delete, and add documents and notes to investment actions on this table.

Exporting Investor History items:

User can also download an exportable csv of all investor history items in your system or generate this report based on the parameters defined in the Investor History table. Clicking the blue Export on this table will download this report to the Report/Exports tab within the Reports/Exports Module. Headers included on this report are:

  • Investor

  • Investment Action

  • Action Date

  • Created By

  • Reviewed

  • Reviewed By

  • Transaction Number

  • Offering

  • Account

  • Note

  • Advisor Viewable
